13 Oct What Size Screen Do I Need for My Event?
When you’re organising an event, choosing a screen can seem straightforward – until you start considering audience size, viewing distance, venue layout and the type of content you’ll be displaying. A screen that looks perfectly adequate in an empty venue can feel very different once the room is filled with guests. Choosing the right screen size is therefore an important part of planning your event’s AV requirements.
Start With Your Audience Size
The number of people attending your event is one of the first things to consider. For a small meeting, presentation or exhibition stand, a commercial display may provide everything you need. As audience numbers increase, however, guests seated further away need to be considered. Larger displays, projection or LED screens may be required to make sure everyone has a clear view.
Consider the Shape of the Room
Two venues with the same capacity can have completely different AV requirements. A wide room may require multiple screens positioned around the venue, while a long room may require a larger main screen so guests at the back can comfortably follow the presentation. Columns, ceiling heights, stages and seating layouts can also influence where screens can be positioned. This is why the venue itself should always be considered when specifying event AV.

What Will Be on the Screen?
The type of content you’re displaying matters too. A video can often be viewed comfortably from further away, while a presentation containing graphs, figures or smaller text requires greater visibility. If speakers are presenting detailed slides, the screen needs to be large enough for guests throughout the room to read the content without difficulty.
Do You Need More Than One Screen?
For larger conferences and corporate events, one screen isn’t always enough. Additional screens can be positioned around a venue to improve sightlines, particularly in wide spaces or rooms with large audiences. Multiple displays can also be useful when you want to show different content simultaneously, such as a presentation alongside a live camera feed of the speaker.
Commercial Display, Projection or LED?
Screen size is only part of the decision. Commercial displays can work particularly well for smaller events, exhibition stands, digital signage and supporting displays. Projection remains a flexible option for many presentations and conferences, while LED screens can provide a high-impact solution for larger events, stages and venues. The right technology will depend on the venue, audience, content and overall event design.

Ask Your AV Team Before You Book
